Job Summary: The Administrative Assistant provides direct support to the Executive Director, Finance Director, and Director of Development, Advancement and Fundraising by handling a variety of administrative tasks. This role is essential in ensuring efficient office operations, assisting with vendor communications, coordinating meetings, and supporting key organizational initiatives. Duties and Responsibilities: - Manage scheduling, calendars, and meeting logistics - Prepare materials for board meetings or leadership presentations - Maintain confidential records and sensitive documents - Provide administrative support on special projects - Take meeting minutes when necessary - Assist with basic human resource tasks - Prepare and organize financial documents and reports - Assist with expense tracking - Help maintain financial records and digital filing systems - Assist in tracking grants, budgets, and account reconciliations - Help coordinate donor mailings and acknowledgments - Maintain and update donor database/CRM - Assist with planning and execution of fundraising events - Keep development calendar updated - Create and schedule social media and newsletter content (as assigned) - Assist with grant application support (gathering data, proofreading, etc.) Skills and Qualifications - Strong team player with a collaborative mindset. - Excellent organizational and problem-solving skills. - Compassionate, dependable, and committed to follow-through. - Strong written and verbal communication abilities. - Ability to prioritize tasks effectively in a fast-paced environment. - Adaptable and willing to take on new challenges to support the organization's growth. - A desire for continuous learning and professional development. - Proficiency in Microsoft Office Not necessary, but a bonus if you are familiar with the following: - Proficiency in mail merge for Outlook/Word/Excel - Proficiency in QuickBooks. Education and Experience - High school diploma or equivalent required. - Proficiency in Microsoft Office 365 and general computer skills. - Energetic, motivated, and eager to contribute new ideas and take on projects.
